Using eOffice General Ledger you can:

Output a list of your chart of accounts to an Excel spreadsheet.
Output a summary general ledger report to Excel showing each account, current year and prior year balances.
Output a detail general ledger report to Excel showing all activity for a particular period or for all periods.
eOffice - General Ledger Installation Instructions:
eOffice General Ledger is an Excel add-in module.  To install this add-in:
  • Call Rick Marlette 770-633-3232 to receive the file by email.
  • Save the attachment file to a temporary location on your local computer.
  • Open Excel 2000 or Excel XP.
  • Choose the Tools - Add-Ins menu item.
  • Choose the Browse Button.
  • Browse to the temporary folder containing eOffice-GL.xla.
  • Double click the eOffice-GL.xla file.
  • Answer Yes when Excel asks if you want to copy the file to the Excel Add-In directory.
  • eOffice General Ledger is now installed as an Add-In for Excel.
  • Close and re-start Excel.
Error Messages:
As with all the products we produce, extensive checking is performed on your data files before we will access or change your files. We feel it is better to halt with an error when any abnormalities are suspected.
The Most Common Cause of Error Messages:
You did not set the volume units correctly. Check and double check these settings. They must be exact and you must have network access to the folders specified in the setup screen. A valid location for your general ledger chart file would be something like: d:\ddms\wp and not d:, or d:\ddms\chartfile.dbf.
Second Most Common Cause of Error Messages:
You must have the ODBC drivers loaded on your PC to allow Excel to communicate with other database sources. The default installation of Office 2000 will load the ODBC drivers for you. If you get a Compile Error, then you need to download the latest ODBC drivers from Microsoft. Visit the Resources Page on this Website for instructions on downloading and installing these drivers..
Other Tips For Using eOffice General Ledger:
  • Make sure you are on a blank worksheet before outputting your data.
  • Use the Cancel Button to stop outputting, don't just close Excel during an output.
  • Don't change worksheets while date is being output.

eOffice - General Ledger Setup Instructions:
Before attempting to use eOffice General Ledger, make sure you check and perform the following tasks:
  • The computer you are using must be able to access your Backend System through your network.
  • You must have a permanent drive connection to your Backend System through a mapped network drive letter.
  • You must be able to see all the Backend System folders under the main folder (i.e. SR, IN, etc.)
  • Note the drive letter of the mapped network drive and the full path name to your data files (i.e. "J:\DDMS\WP")
  • Print your L0 Parameters screen from your Backend System.
Using eOffice General Ledger:
Open Excel and select the Data Menu.  You will now see a new menu item below "Get External Data" called "Get DDMS Data" (Click the image for a larger view)

Choose this new menu item and a sub-menu will appear with Setup eOffice and General Ledger choices. Choose the Setup eOffice menu item.  The following setup screen will appear: (Click the image for a larger view)

All of the volume units shown here are not required by General Ledger. Some are used by other modules.  The General Ledger setting is all that is required by this module. The location code is used by other modules. Do not change this value if it has already been set by another module.
Choose the Data - Get DDMS Data - General Ledger Menu Item. Until you register your copy of eOffice General Ledger, the following screen will appear: (Click the image for a larger view)

Choose the Continue in Evaluation Mode to evaluate eOffice General Ledger or contact Rick Marlette at 770-633-3232 to register your copy.
Select a action to perform on your general ledger data from the Action Screen: (Click the image for a larger view)

  • Check Database Settings will check the setup to make sure the database settings were entered correctly.
  • Output Chart of Accounts will output to the current Excel sheet a listing of your chart of accounts showing account number and description.
  • Output General Ledger Summary will output to the current Excel sheet a summary report showing account number, description, all current period balances, and the prior year period balances.
  • Output General Ledger Detail will output a detail listing of activity for a specified period or for all periods.
